Now that you are shipping to your consumers you are solely responsible for reporting to all the state agencies based on the amount of sales tax you collected, or the amount of gallonage you sold in that state. This means you will be responsible for preparing and submitting the reports, as well as scheduling the tax payments. These reports, dependent on state requirements, are due monthly, quarterly, semi-quarterly, semi-annual and annually. Submitting reports to agencies
There are several ways that reports are submitted to the state agencies dependent on their rules and regulations. Most states require the reports be submitted online, or mailing in paper forms at each reporting period. Along with the reports there needs to be a payment made to the state. This amount is determined by the amount of sales you collected in the state, or the amount of gallons sold. In rare cases, both reports will need to be filed at separate times. In order to determine your spacific situation the agencies need to be called, and accounts online need to be monitored regularly. This is because you may have been assigned with monthly reporting but sales are down for several months so the state agency moves you to semi-quarterly reporting. These are things that will need to be monitored in order for you to stay compliant, and avoid costly fines.
Amending submitted or non-submitted reports
On rare occasions, reports are filed and paid to a state agency with the wrong data, or the reports were not filed at all. In these cases, the reports need to be amended and the correct data needs to be reported. We are here to amend your reports for you. We will submit the correct data and payment, as well as monitor the amendment until the state agency approves the submission.
Monitoring Autofile submissions
With the ease of Autofile people often feel like they don't have to do anything with their reporting. This is not the case. Autofile accounts need to be monitored monthly to assure the correct reports are being submitted. They also need to make sure the correct reporting periods are being met, as well as making sure changes aren't made to the account after the report was submitted. There is a lot of maintenance that comes with Autofile and we are fully prepared to keep your account monitored, and maintained.
